The Role

We’re hiring a world-class Executive Assistant and Office Manager to support our executive team and build the operational backbone of our New York office. You’ll work directly with the CSO, to ensure their time, attention, and environment are optimised for speed and impact. This role is for someone who thrives in fast-moving environments, anticipates needs before they arise, and brings order and momentum to high-intensity teams.

This is a foundational hire for our New York office. You will set the standard for operational excellence, culture, and rhythm across one of our most important global hubs.

What You’ll Be Responsible For

Executive Support

  • Own the scheduling, coordination, and prioritisation of the CSO and senior leadership’s time.
  • Prepare executives for internal and external meetings, ensuring they always walk in with what they need.
  • Manage follow-ups, action tracking, and internal alignment across teams.
  • Act as an extension of the executive team across communications, planning, and day-to-day execution.

Office Management

  • Build and run the operating system of the New York office.
  • Ensure the space runs smoothly, from supplies and vendors to workspace organisation and daily logistics.
  • Coordinate team onsite days, leadership offsites, and visiting teams from London, San Francisco, and Hong Kong.
  • Lead onboarding for new NY hires, partnering with People and Ops to create a five star new hire experience.

Operations and Rhythm

  • Create systems, processes, and structure that allow the office and executives to move faster with fewer bottlenecks.
  • Support expense management, travel arrangements, planning, and coordination across teams.
  • Drive culture building initiatives, events, and rituals that reinforce Model ML’s standards and ambition.

What We’re Looking For

  • 3 to 7 years of EA, chief of staff lite, office management, or operational support experience.
  • Experience supporting senior executives in high-velocity environments.
  • Exceptional organisational ability and attention to detail.
  • Strong writing, communication, and judgement skills.
  • High discretion and trustworthiness handling sensitive information.
  • Ability to anticipate needs, remove obstacles, and solve problems before they escalate.
  • A bias for action and a desire to operate in a fast, ambitious, high ownership environment.
