About the role

We are looking for a proactive and detail-oriented Executive Assistant to support our leadership team. This is a full-time remote position based in the Philippines.

This role requires working during U.S. East Coast hours (night shift in the Philippines), with consistent availability during core hours in both the morning and afternoon EST. We use HubStaff for time and activity tracking. You are expected to be online and available in Slack throughout your shift.

If you’re highly organized, responsive, punctual, and thrive in fast-paced, startup environments—this role is for you. If you’re looking for an easy or low-effort job, this is not it.

RESPONSIBILITIES

  • Manage calendars, schedule meetings, and coordinate across time zones
  • Support recruiting: post jobs, screen candidates, and schedule interviews
  • Respond to emails and internal messages promptly and professionally
  • Track deadlines and follow up to ensure timely completion
  • Organize team meetings, events, and special projects
  • Conduct research and handle various administrative tasks
  • Help manage and monitor our social media channels
  • Respond to occasional messages or inquiries on social media
  • Assist with regulatory compliance and follow-up

REQUIREMENTS

  • Excellent written and spoken English
  • Extensive experience using AI tools like ChatGPT for writing and knowledge work
  • Strong organizational and time-management skills
  • Prior experience as an Executive Assistant or in a similar support role
  • Proficiency with Google Workspace, Slack, and project/task management tools
  • Proactive, resourceful, and trustworthy with confidential information
  • Comfortable using HubStaff for time and activity tracking
  • Must be available full-time during U.S. Eastern Time hours (night shift PH)
  • Experience working at startups or in clinical/telehealth companies is a strong plus
