We’re looking for an exceptional Executive Assistant & Office Manager to support our Chief of Staff and HR Manager in a fast-paced, high-performance environment.

What you’ll do
You’ll be the operational backbone supporting leadership and helping scale the company. This hybrid role combines executive support, administrative coordination, and office management, with plenty of room to grow and shape the scope based on your strengths.

Executive Assistant role:

  • Undertake all administrative and backoffice tasks (URSSAF, DGIP, OPCO, insurance, Visa requests, etc.)
  • Guarantee all pre-accounting to ensure smooth monthly closing and meet all deadlines (Pennylane, Qonto, AGICAP),
  • Prepare invoices and oversee supplier payments
  • Gather key information for strategic document preparation, reports, presentations and provide administrative support to the Chief of Staff 
  • Organise company events (onsite and offsite) in France and abroad
  • Manage executive & employees travels, booking flights, hotels, and transfers, while anticipating logistical needs.
  • Provide day-to-day support on HR-related tasks such as onboardings, offboardings, answer employee’s requests and so on (Payfit)
  • Help structure internal processes (Drive, Notion) and ensure smooth internal communication

Office Management: 

  • Oversee the smooth running of the offices in Paris, Lyon and NYC
  • Coordinate with HR, operations and suppliers (supplies, budget, maintenance)
  • Act as key liaison with the executive committee. Ensure clear and prompt communication, with company executives and follow up appropriately, following processes already in place.
  • Help cultivate a great workplace culture and contribute to internal events

Who you are

  • Must-haves:

    • Bachelor’s degree (or higher) and 5+ years experience as EA/OM in a startup,scale-up, or high-performing environment (tech, finance, consulting)
    • Full fluency in English (C1+) and French
    • Deep familiarity with tools like Google Workspace, Slack, Notion, Pennylane, Qonto, Payfit, AGICAP
    • Solid financial & HR admin capabilities
    • Proven ability to multitask, prioritize, and handle sensitive info with discretion

Salary/Perks
50,000€ /year

  • Meal vouchers: €10/day, with €5.50 covered by Formance (optional).
